Job Description

General job description:
Carrying out all the executive secretarial work for the office of the Chairman of the Board of Directors, ensuring the proper functioning of the work therein, following up on correspondence, and communicating data and information to other departments in accordance with the instructions of the senior management.

Duties and responsibilities:
1. Coordinating the schedule of interviews for the Chairman of the Board of Directors in order to save time and effort.
2. Invitations are sent to the participants in the meetings called for by the Chairman of the Board of Directors.
3. She attends the meetings of the Chairman of the Board of Directors and coordinates and prepares documents and papers related to the subject of the meeting.
4. She writes the minutes of all the internal meetings of the Chairman of the Board of Directors and sends them to those concerned to ensure optimal documentation of operations.
5. Organizing and indexing internal reports received from other departments and divisions, and presenting them to the Chairman of the Board of Directors.
6. Receives the telephone calls of the Chairman of the Board of Directors and forwards them to them or responds to them if necessary.
7. Sending and receiving faxes and e-mails of the Chairman of the Board of Directors.
8. Receiving, sorting and presenting correspondences to the Chairman of the Board of Directors as received.
9. Receiving clients and visitors, recording their information, and arranging for their meetings with the Chairman of the Board of Directors.
10. Preparing daily reports on the progress of work in the office, the communications and correspondence received, the responses to them, the interviews that took place, the meetings and appointments that took place on the same day, and recording the results of these meetings.
11. She writes a weekly report to show what has been accomplished and what has been postponed with an indication of the reason and submitting it to the Chairman of the Board of Directors.
12. Maintaining various files and records and providing the appropriate system for the retrieval process.
13. All new or assigned tasks directly related to the job.


Job Requirements

Qualification: Bachelor of Commerce, majoring in Accounting
Practical Experience Experience of not less than 1:3 years in secretarial work.
Technical Skills  Proficiency in using computers and Office applications
